‍Processing of personal data in connection with recruitment

At WellPerform ApS, we respect your privacy and are committed to protecting your personal data during the recruitment and work-finding process. This policy explains how we handle your data in accordance with the General Data Protection Regulation (GDPR) and the Danish Data Protection Act (Databeskyttelsesloven).

During the recruitment and work-finding process, we process general personal data about you, but we may also process special personal data or personal data relating to criminal convictions and offences. In this document, you can read more about

the data we process about you during the recruitment and work-finding process.

When we receive your application

The personal data registered about you during the recruitment and work-finding processes are those provided in your application, CV and other enclosed documents.

‍

We typically register the following personal data: Name, address, gender, telephone number, e-mail address, education(s), training and career history.

‍

We process this personal data in accordance with the General Data Protection Regulation (GDPR) as the information has been provided to us in connection with the intention of entering into an employment contract with WellPerform.

‍

The data provided is registered in our internal CV Database.

‍

How we assess the application

We carefully evaluate the qualifications of each applicant in relation to the specific position advertised. For unsolicited applications, we review the CV with the purpose of assessing its relevance for inclusion in our CV database.

‍

For open vacant positions, all applications are reviewed, and selected candidates are invited for one or more interviews. In the case of unsolicited applications, we inform the applicant if we find the CV relevant for our CV Database.

‍

Applicants who are not invited to an interview, or whose unsolicited CV is not included in our CV Database, will be notified accordingly.

‍

When we select you to an interview

If you are invited to participate in the interview process, we may collect and register additional information that you share with us during the interviews. This information is used solely to progress the recruitment process.

We process this personal data in accordance with the General Data Protection Regulation (GDPR) as the information has been provided to us in connection with the intention of entering into an employment contract with WellPerform.

‍

Data from social media

In connection with recruitment for positions with focus on customer and collaborative relations, it may be relevant for us to perform searches on social media such as LinkedIn.

‍

In compliance with the General Data Protection Regulations (GDPR), WellPerform may collect information from publicly available social media sources to evaluate whether a candidate’s profile aligns with the company and the specific position for which they are being considered.

Data from personality and proficiency tests

In connection with recruitment for some positions, the company will ask you to complete a personality and/or a proficiency test. We always assess whether this is relevant for the position in question. The purpose of the test is to assess your competencies and qualifications as a potential employee and to assess whether your profile matches the company and the specific position.

We process the results of personality and proficiency tests only with your consent, in accordance with the General *Data Protection Regulation (GDPR). Before taking the test, you will be asked to give your consent. You may withdraw your consent at any time by contacting us. Withdrawal of consent will apply only to future processing and will not affect the lawfulness of any processing carried out prior to the withdrawal.

Data from previous employer

For certain positions, we need to obtain references from previous employers. If we obtain references from one or more of your previous employers, we will register the data we receive.

Before we obtain any references, we will obtain your consent. We obtain references to be able to assess whether your profile matches the specific position, and we store the data to be able to document your employment relationship history.

Residence and Work Permit

Your employment is conditional upon your possession of a valid work and residence permit. To verify this, we request a copy of your passport and other relevant personal documents in connection with your employment.

‍

If, due to your citizenship, you need a work and residence permit to work lawfully in Denmark, we will also obtain a copy of your work and residence permit.

‍

The processing of this information is carried out in compliance with the General Data Protection Regulation (GDPR) to fulfill our legal obligations as an employer and in accordance with the requirements set out in the Danish Aliens Act, ensuring that all employees are legally entitled to work in Denmark.

Storage and Erasure

We retain personal data only for as long as necessary for recruitment purposes and in accordance with applicable law:

β€’ If you are not selected for the vacant position, we will erase the data we have registered about you within six months. However, we will erase the result of your personality test and criminal records immediately after we have informed you that you have not been selected for the position

β€’ If you have been selected for the position, we will store the data provided during the recruitment process in your personnel file.

β€’ If you submit an unsolicited application and we inform you that your CV will be included in our CV Database, we will retain your CV for a period of twenty-four months. After this period, you will receive an email from us. If you do not wish for us to continue storing your CV, you must notify us immediately. If we do not hear from you, we will assume your content and keep your CV for an additional twenty-four-month period.

You may at any time request to withdraw your consent using the contact details in section 1 and your profile will be erased from our CV Database.

‍

If you are informed that your CV will not be added to our database, we will delete all information we have received from you immediately.

‍

Sharing of personal data with third parties

In connection with the recruitment process, we may share your personal data with third parties where necessary. Such recipients may include:

β€’ Public authorities, where we are legally obliged to disclose information

β€’ External service providers, such as providers of recruitment systems, IT solutions, or personality/proficiency tests, who assist us with administrative or technical functions

β€’ Clients, in cases where we present qualified candidates as part of our recruitment services

All third parties only receive the data necessary for the specific purpose and are required to process your information in accordance with applicable data protection laws.

Your Rights

Under the GDPR and the Danish Data Protection Act (Databeskyttelsesloven, you have several rights in relation to our processing of your personal data. These include the right to:

β€’ Access the data we process about you

β€’ Request correction or deletion of inaccurate or unnecessary data

β€’ Restrict or object to the processing of your data in certain circumstances

β€’ Receive your data in a portable format (data portability)
